    Refund Policy

    Southeast Asia Simplified coordinates trip planning and travel arrangements in partnership with destination management companies operating on the ground in Thailand and Southeast Asia. Because bookings, deposits, and supplier commitments are handled through these partners, refunds and cancellations are governed by the terms outlined below.

    Quotation Validity

    Quotations provided for trip planning and coordination services are valid for 15 days from the date issued, unless a different validity period is stated in writing.

    Cancellation and No-Show Policy

    Cancellation charges are calculated based on the number of days between the cancellation request and the arrival date:

    Where a hotel or supplier has been booked at a prepaid, non-refundable rate, no refund applies to that portion of the booking regardless of the cancellation window.

    Where a refund is possible, the amount returned depends on the terms each individual supplier has in place. Southeast Asia Simplified and its coordination partners recover and pass on as much as those supplier agreements allow, but cannot guarantee recovery beyond what a given supplier permits.

    Payment Terms

    Full payment is due no later than 35 days before the arrival date, except where a separate credit arrangement has been agreed in advance.

    A deposit is not typically required for standard bookings. Deposits may apply for larger group arrangements (MICE-style itineraries) or where suppliers require advance payment to hold space, particularly during high-demand periods. Any deposit requirement is communicated and invoiced separately before it becomes payable.

    Bank transfer fees and related transaction costs are the responsibility of the paying party.

    Arrangements not paid in full by the due date may be cancelled without further notice.

    Rates and Currency

    Quoted rates are per person unless stated otherwise and include applicable local VAT and service charges. Rates may be quoted in local currency, US dollars, or euros, as specified in the individual quotation.

    Traveler Documentation Responsibility

    Travelers are responsible for holding valid travel documents, including a passport with sufficient remaining validity (generally at least six months beyond the final departure date) and any required visas. Comprehensive travel insurance covering the full trip, including arrival and departure days, is strongly recommended, since refund terms do not extend to losses that insurance is intended to cover.

    Force Majeure

    Southeast Asia Simplified and its coordination partners are not liable for costs, delays, or missed arrangements resulting from circumstances outside reasonable control. This includes war or hostilities, civil unrest, epidemic, earthquake, flooding, or other natural disasters. Refunds are not owed for disruptions caused by these events, though partners will work to minimize loss where possible.

    Flight and Transfer Schedule Changes

    Domestic and regional flight schedules can change without advance notice from carriers. Itineraries are adjusted accordingly when this happens. While every effort is made to preserve the original price and program, schedule changes that require surcharges or affect touring plans will be communicated as they arise. Southeast Asia Simplified is not responsible for missed international flight connections resulting from last-minute schedule changes made by carriers.

    Liability

    Southeast Asia Simplified and its coordination partners are not responsible for injury, loss, or damage arising from circumstances beyond their control during the course of a trip. In the event a traveler falls ill or requires hospitalization, reasonable assistance will be provided, though this does not constitute a guarantee of costs incurred.
